Developing Your Soft Skills
While technical know-how has always been integral to career success, today’s workplace requires that the most successful IT professionals possess excellent interpersonal skills as well. These so-called “soft skills” play a key role in your ability to excel at your job.
Demonstrating qualities such as empathy, humor, tact and enthusiasm are critical whether you’re meeting with a potential client or explaining to your CEO how to log onto the network from an off-site location. Here are some tips for developing the less-technical aspects of your skill set:
Be a good listener. Strong communication involves active listening. Giving a speaker your full attention might sound simple, but think of instances when you let a phone call interrupt a conversation with a colleague or your mind wandered while the other person was talking. And if you don’t listen, you’ll be more likely to misunderstand what your boss or coworkers want and make mistakes. For example, your manager might not appreciate the upgrades you made to the accounting department’s desktop systems when it was marketing’s computers you were supposed to update. Instead, be an active listener: participate in the conversation, wait your turn to speak and ask for clarification when necessary.
Be appreciative. Always be willing to provide praise or words of encouragement to others. Thank coworkers who help you complete a project or who simply do something thoughtful for you. And avoid taking sole credit: For instance, did you work on a high-profile project in which a coworker frequently pitched in? Acknowledge his or her contributions to your manager and colleagues.
Be in control. Not every day will be a good day, but regardless, you always should strive to maintain a positive attitude while on the job, and remain patient and calm in challenging situations. People who can “keep it together” when situations are intense or don’t go their way will find that their composure earns respect from their coworkers.
Be a team player. Is a coworker working on two major initiatives and everything must be completed by next week? Offer to help out if you’re not overloaded yourself. Assisting overwhelmed colleagues builds team camaraderie – and also makes it more likely your coworkers will help you the next time you’re buried in work.
Be diplomatic online. Whether you’re composing an e-mail or instant message, maintain a positive, professional tone. This means never corresponding when you’re angry or unhappy – you could regret it later. And don’t forget common courtesies such as “please” and “thank you,” regardless of the length of the message.
Be enthusiastic. Which type of person would you most like to work with: someone who clearly loves her job and encourages others to excel or an individual who constantly complains about his responsibilities? Keep this in mind when evaluating your own work style. An upbeat attitude will not only improve your relationships with other team members, but it also can play a role in gaining future opportunities.
Be attentive. While you don’t have to build close friendships with your coworkers, it’s important to do your part to create a congenial work environment. Make a point to know a little about everyone you interact with or see in the office on a regular basis. Also, greet others in the office in a pleasant manner and be observant: If you know it’s someone’s birthday, offer your best wishes. If you’re aware someone has been ill or dealing with a difficult personal situation (e.g., a death in the family), be sensitive and, if appropriate, find out what you can do to help.
IT professionals who exhibit exemplary interpersonal skills and show patience and courtesy in all situations – no matter how trying – are essential in business. It comes down to behaving appropriately while on the job and treating others with respect – managers, coworkers and customers alike. You’ll no doubt find that becoming a master at interpersonal relations will lead to positive developments in your career.
